Committee Position Descriptions

President

To ensure the efficient running of all operations of the club

Duties
  • be well informed of all club activities
  • be aware of the future directions and plans of club and club members
  • have a good working knowledge of the club rules and the duties of committee members
  • attend monthly meetings
  • manage committee and/or executive meetings
  • manage the club annual general meeting
  • above average digital literacy and working knowledge of Microsoft suite, Facebook and other relevant communication platforms
  • ability to understand the workings of relevant Netball Australia and QLD systems (eg, Netball Connect, Majestri)
  • be the supportive leader for all club members and sub committees
  • act as a facilitator for club activities
  • ensure that planning and budgeting for the future is carried out in accordance with the wishes of club members
  • to present the Annual Report at the Annual General Meeting
  • be approver on club account (with at least one other Executive Member)
Notes....
It is essential to be available to listen and give advice regarding all concerns and issues. This person must
have excellent communication skills, a good understanding of netball at club level and an interest in all
aspects of the workings of the club.

Vice President

To support and mentor all committee members in the efficient performance of their roles

Duties
  • to support the President and fill in if President is unavailable
  • be well informed of all club activities and familiar with President’s role
  • attend monthly meetings
  • chair meetings when President absent
  • may be the signatory on club accounts
  • be supportive of all club members and sub committees
  • have a good working knowledge of the club rules and the duties of committee members

Notes....
As with the President’s role, it is essential to be available to listen and give advice regarding all
concerns and issues. This person needs to be someone who has good people skills and an interest in
all aspects of the workings of the club.

Treasurer

Responsible for the financial management of the club
The Treasurer manages the financial operations of the club and ensures accurate, transparent, and timely reporting.
Key Responsibilities
Financial Management
  • Receive and record payments outside Majestri, including Play On vouchers.
  • Redeem Play On vouchers through the Queensland Government portal and reconcile them in Xero and Majestri.
  • Reconcile all income from Majestri and ensure deposits and records in Xero are accurate.
  • Process payments to umpires and suppliers and other approved expenses in a timely manner.
  • Maintain clear, up‑to‑date financial records and complete year‑end journals as needed.

Banking & Compliance
  • Serve as an authorised signatory on the club’s bank accounts with at least one other signatory.
  • Support the annual audit and ensure compliance with club policies and financial regulations.

Reporting & Budgeting
  • Provide regular financial updates to the committee.
  • Prepare the annual budget in consultation with the committee.
  • Present annual financial statements at the AGM.

Systems & Digital Skills
  • Use Xero for financial management.
  • Work confidently with Majestri, NetballConnect, and basic digital tools (Microsoft Office, email, Facebook).

Governance & Club Engagement
  • Attend monthly committee meetings.
  • Support club members and sub‑committees with financial guidance.
  • Contribute to a positive and inclusive club environment.


Secretary

Administrator of the club providing coordination links between members, club executive and WDNA

Duties
  • To call meetings of the club, including preparing notices of a meeting and of the business to be conducted at the meeting in consultation with the executive committee of the club
  • To keep minutes of each meeting
  • To attend monthly meetings
  • Daily management of all communications via email, Facebook and other media
  • Management of all communication to all club members and liaison with other committee members
  • regarding communication that is required for members
  • To keep copies of all correspondence and other documents relating to the club
  • To be supportive of all club members and sub committees
  • To send out communications to members keeping them up to date
  • Management of any regulatory requirements for the smooth operation of the club, eg government
  • portals
  • Above average digital literacy and working knowledge of Microsoft suite, Facebook and other relevant communication platforms

This active role requires a good understanding of the club and Association rules.

Registrar

Registrar â€“ Role Description (Netball Club)
The Registrar manages all player, coach, committee and umpire registrations and acts as the key link between members, the club committee and WDNA. This role ensures that all participants are correctly registered in both Majestri and Netball Connect and that accurate records are maintained throughout the season.

Senior Club Coordinator

Responsible for the management and development and oversight of the Senior teams (14/15 Years and
older). They will have some coaching background and be responsible for facilitation and co ordination of
activities for player development. Ideally the nominee will be an accredited netball coach with extensive
experience in junior/senior coaching.

Duties
  • Support the selection process of players to teams
  • Assisting coaches through the provision of training courses or resources to ensure that all teams are being provided with safe and well-organised coaching.
  • Mentoring coaches throughout the season when required.
  • Arranging regular meetings with senior team representatives eg Coaches and Managers and managers to ensure they are aware of their roles and responsibilities.
  • Provision of support to the Junior Club Coordinator for provision of skills clinics and other community activities.

Junior Club Coordinator

The Junior Club Coordinator is responsible for the oversight and coordination of all junior teams (Under 14/15 and below). This role supports player and coach development and ensures effective communication with coaches and managers. The position involves significant administrative and practical responsibilities and requires strong interpersonal and organisational skills. A background in coaching is highly desirable.

Key Responsibilities

·         Attend committee meetings and provide regular updates on junior coaching, development initiatives, and opportunities

·         Act as a Blue Card Officer, ensuring all coaches and managers aged 18 years and over hold a current Blue Card or exemption card linked to the organisation

·         Participate in the grading and selection of players into teams

·         Assist in the allocation of coaches to teams

·         Contribute to the grading of teams into appropriate divisions

·         Coordinate team training schedules and court allocations

·         Work collaboratively with the equipment officer to identify equipment needs for training and competitions

·         Organise and oversee club-based player development activities, including pre-season clinics

·         Work collaboratively with the Senior Coordinator to arrange coach development opportunities

·         Maintain records of coaches’ accreditation levels, ensuring minimum compliance with club expectation of Netball Australia Foundation Level accreditation

·         Assist in coordinating the coaching pathway for trainee coaches

·         Provide mentoring and support to coaches throughout the season as required

·         Organise and deliver pre-season coach and manager meetings, ensuring all volunteers clearly understand their roles and responsibilities

·         Maintain regular communication with coaches and managers regarding training schedules, fixture changes, weather updates, upcoming events, and club rosters

·         Assist with the completion of Game Day Age Policy requests as required

Umpires' Convenor

Responsible for developing our players into competent and confident umpires

Duties
  • Co-ordinate roster for umpires for the season
  • Organise the weekly roster for umpire duty for all St Joseph’s games
  • Co-ordinate and liaise with St Joseph’s netball umpires to ensure they are informed of their umpiring duties on a weekly basis
  • Responsible for co-ordination of recruitment and ongoing development of the St Joseph’s umpires
  • Liaise with WDNA and nominate appropriate umpires for badging
  • Attend monthly meetings (as required)
  • Ensure umpires that are engaged are paid each week according to ability/experience

Equipment Convenor

The Equipment Convenor is responsible for the coordination, ordering, management, and distribution of all club equipment to coaches and managers.

Key Responsibilities

· Conduct a stocktake of all club equipment at the commencement and conclusion of each netball season

· Liaise with Junior and Senior Coordinators to identify equipment requirements for training and competition

· Assist with the ordering, receipt, labelling, and recording of new equipment

· Coordinate the distribution of equipment (including balls, bibs, and first aid kits) to coaches prior to season commencement

· Arrange the collection and return of all equipment at the conclusion of the season

· Attend meetings prior to the season and additional meetings as required throughout the season

· Oversee the organisation of the St Joseph’s equipment shed

Merchandise Convenor

Responsible for ordering and distribution of the club’s uniforms and stock to the club’s members.

Duties
  • Source uniform items and prices as needed
  • Distribute uniform items as needed
  • Take orders and organise new uniforms for the start of the season
  • Liaise with the treasurer with regards to collection of money and distribution of uniforms
  • Complete stocktake at the end of the season

Notes....
The majority of the workload is early in the season, during recruitment and grading fixtures.

Grants and Sponsorship

Responsible for identifying and applying for Grants and Sponsorship opportunities

Duties
  • Experience in applying for Government Grants and understanding the application process
  • Work with the Committee to identify Sponsorship opportunities and liaise with relevant parties to obtain sponsorship
  • An general understanding of the requirements of the clubs needs to target the relevant grant and
  • sponsorship opportunities
  • Support the Treasurer to acquit any Grants received

Notes....
The majority of the workload is behind the scenes and there is no requirement to attend meetings except
on request of the Committee. Ideally the person will have some experience in applying for grants and have
good community connections.

Community Engagement Officer

The Engagement Coordinator plays a vital role in fostering member involvement, strengthening community connections, and supporting the ongoing growth and success of the club. This role helps coordinate volunteer activities, supports club events, and ensures a welcoming and inclusive environment for all members. The Engagement Coordinator is also a welcoming point of contact for initial enquiries from the wider community, alongside other committee members

Key Responsibilities

Communication & Community Engagement

· Create and manage any relevant team-based media to ensure families receive information in an informative and timely manner. An example of this is the ‘Team Manager’ WhatsApp group

· Serve as a welcoming point of contact for member and community enquiries, alongside other committee members

· Foster a welcoming and inclusive environment for all members

Events & Activities

· Plan, organise, and promote club social events, including early-season BBQs

· Support the coordination of club teams entering carnivals throughout the season at Wests and other associations.

Volunteer & Member Support

· Coordinate volunteer opportunities to support club activities

· Lead member recruitment initiatives aligned with club planning and as directed by the Committee

Fundraising

· Identify and assist with club fundraising opportunities

WDNA Delegates

  • Represent St Joseph’s Netball Club at WDNA’s meetings and AGM
  • Have knowledge of how our club operates and what our club’s values are so representation of our club
  • is in line with our members wishes
  • Attend monthly meetings (as needed – particularly following WDNA meetings to offer feedback/reports from WDNA)
  • A strong understanding of netball and association procedures.
